Q1: Am I eligible to attend a graduation ceremony?
To attend the graduation ceremony you must have passed all elements of your study programme and have these agreed by the appropriate Examination Board.
All students eligible to attend are invited to book a place at a ceremony about 12 weeks before the graduations.
You should not wait for your results before you register your intention to come. If you miss the deadline to book we may not be able to allocate you to a ceremony with your course friends or faculty.
Q2: I am still waiting for my results, can I still apply to attend graduation?
Yes. To attend the Graduation you must apply before the deadline date.
If you do not pass all elements of your course a refund will be given or you will be given the option to have your booking transferred to the next set of ceremonies.
Q3: Can I attend a graduation ceremony if I am 'referred'?
No. Any student who is 'referred' and has to undertake a re-sit examination or assignment to successfully complete their studies at the time of the ceremony will automatically be invited to attend the next formal graduation ceremony to which they are eligible.
Q4: I am currently excluded can I still graduate?
If you are excluded at the time of your faculty's examination board and the University's Scheme Board, you will be unable to attend the ceremony. Once your exclusion has been lifted you will be invited to the next appropriate ceremony.
Q5: What should I do if I have a question about my final result?
If you have a question regarding your final result, you should contact your faculty office.
Q6: I haven't received my graduation invitation what should I do?
If you haven't received a graduation invitation please email firstname.lastname@example.org as soon as possible requesting an invitation to be emailed to your contact address.
Invitations are sent out as follows:
Spring graduations: invitations emailed mid-January
Summer graduations: invitations emailed late April
Autumn graduations: invitations emailed early September
Q7: Where and when is my graduation ceremony?
Your email invitation to graduation will tell you the date and location of your graduation.
The time of your ceremony will depend on your course of study. and will be confirmed in an email after the booking deadline.
Ceremonies usually be scheduled to take place at 10.30am, 1.30pm and 4.30pm (5.00pm July only)
Q8: The date and time of my ceremony is not suitable for me am I able to change it?
It is not possible to change your ceremony date. Students must graduate at the relevant Faculty ceremony.
Q9: Is there anything I should do now to prepare for my graduation?
Please make sure your contact details are up-to-date on eVision. We email invitations 12 weeks before an event.
You should complete the online booking process by the deadline date, otherwise we do not know you want to attend. If we have not heard from you by the deadline date we will assume you do not wish to attend.
Paying for guests does not confirm your booking. You must complete the online booking process.
Academic dress is compulsory for all those being presented at a graduation ceremony. Our recommended gown supplier is Ede and Ravenscroft. Gowns should be ordered no later than 21 days before the first day of graduation.

Q10: Should I still complete the online booking process if I am attending on my own?
Yes. If you don't complete the online booking process by the deadline date, we will assume you do not wish to attend the ceremony. We will not send any further emails.
Q11: Will you send a receipt telling me you have received my application?
Once you have completed the online booking process you will receive confirmation of your booking by email.
Q12: How much do the tickets cost?
There is no charge for the graduating student.
Guest tickets cost £15.00 per person (maximum of two per graduand) if booked by the booking deadline, and payment cleared by the payment deadline.
Extra tickets where available will cost £25.00 per person.
Q13: How many guests can I bring?
Up to two guest tickets can be reserved at the time of booking. These guest seats are guaranteed as long as they are paid for before the booking deadline.
Please note children under 16 must be accompanied by an adult other than the graduating student.
Q14: Is the ceremony suitable for children?
It is recommended that young children are not brought to a ceremony. Experience shows that they can become restless and uncomfortable at ceremonies.
Q15: Are extra tickets available?
It depends on the size of the ceremony. Extra guest seats may be available but only after the allocation of guest seats requested and paid for by the deadline.
If extra tickets are available, you will be notified once the payment deadline as passed. They are offered on a first come, first served basis and the price is £25 each.
Q16: If I, or one of my guests, have a disability what should I do?
When booking your guest tickets please fill in the disability notes section.
Should you or one of your guests become temporarily incapacitated after you have completed the process please log in again and update your booking or contact the graduation office. We use this information to allocate appropriate seating.
The graduation team will be in touch to confirm arrangements where they have been notified.
Q17: When should I expect to receive my tickets?
Tickets are not sent out; they are collected when you register on the day. Tickets are not transferable.
Q18: Can I get a refund for guest tickets?
A refund will only be made if a provisional booking has been made, but the student becomes ineligible to attend having failed to meet condition 3.2.1b of the terms and conditions and they choose not to carry their booking of guest tickets forward to a future Ceremony under 3.2.3 of the terms and conditions.
To obtain a refund you must write or email us at least seven days before the graduation.
Please include your student ID, full name, payments details including method, name of payee, payee bank name, reference or receipt number and confirm the full address where refund should be sent.

Q19: I don't know what time my ceremony is
Ceremonies normally start at 10.30am, 1.30pm and 4.30pm (5.00pm July only). Civic Ceremonies (July only) usually start at 2.30pm.
You will receive an email a couple of weeks after the booking deadline which confirms the time of your ceremony, if you book to attend. Your page in eVision will also be updated to show the ceremony time.
If you don't receive the email from the team, please get in touch with the graduation office.
Q20: What time should my guests be seated in the ceremony venue?
Guests should be seated no later than 30 minutes before the start of a ceremony. Please make sure your guests are seated in plenty of time prior to the start of the ceremony. Guests without tickets will not get access to the ceremony.
Please note your ceremony will start at the time indicated in the correspondence you will have received.
Graduations are a formal ceremony and so late comers cannot be admitted. Seating is allocated, and any extra tickets that are available will be sold on a first come first served basis.
Q21: How long will the ceremony last?
Approximately 90 minutes, depending on the size of the ceremony.
Q22: What happens if I am late for my ceremony?
You must arrive in good time for your ceremony. Please note your ceremony will start at the time indicated in the correspondence you receive. Remember, graduation is a formal ceremony and so late comers cannot be admitted.
Q23: Will refreshments be available?
All graduands and guests attending the ceremony are invited to take refreshments after the ceremony. Please keep your entrance ticket in order to gain access.
The cafes on campus will be open for service most of the day.
Q24: Is there a commemorative programme of my special day?
Graduands receive one complimentary copy of the commemorative programme. Other branded memorabilia will be available to buy.
Q25: Is there parking available at the venue?
There are no parking facilities at our University Square Campus or Putteridge Bury Campus, Luton.
There are a number of public car parks around the Luton town centre campus. Parking is available at the The Mall multi-storey car parks.
For ceremonies running at Putteridge Bury a free shuttle bus will run return trips from the Luton campus.
There is a Park and Ride scheme in Bedford as well as numerous nearby car parks.
Q26: Will my certificate be available for collection?
Yes, your certificate will normally be presented to you in the ceremony.
If you are unable to attend, please complete the online booking process, confirming the address where you want the certificate sent, that you do not want to attend, and delivery method preferred. Certificates will be posted out once the graduation ceremonies have taken place.
Please note if the online booking process is not completed your certificate will not be sent out until you send an email to confirm the address where you would like it sent.
Q27: How will my name appear on my certificate?
Your name will appear in capital letters in full. When we invite you to a graduation ceremony we also show you how your name will be displayed. If it is not as you expect, please contact your faculty course administrator.
Q28: Can I be photographed with my guests?
If you want formal photographs on the day please indicate this when booking a photography package through the official photographers Ede and Ravenscroft. You can do this at the same time you order your gown. Booking in advance will reduce queuing time on the day.
Q29: How does a graduation work?
We suggest that you arrive about two hours before your ceremony start time.
Once you have registered with us, collect your gown and if there is time get your photographs taken.
You should be in your seat in the ceremony venue 30 minutes before the start of the ceremony.
If you have spare time there are cafes on site at all venues.

Q30: How do I pay and what is the refund policy for graduation bookings?
Please check with the graduation team if you are unsure how, or how much to pay.
Payment can be made online via store.beds.ac.uk/product-catalogue/student-and-graduate-services
You are advised not to pay for more than two tickets. Children cannot attend without an adult. Only two tickets per student are guaranteed if booked by the booking deadline. Over-payments will not guarantee extra tickets.
Tickets are collected in person by the student on the day at the ticket collection time notified. Uncollected tickets will not be reallocated.
Dishonoured payments will invalidate any tickets purchased and any bank or other costs incurred may be charged to the student.
A refund will only be offered where:
A provisional booking has been made, but the student becomes ineligible to attend having failed to meet condition 3.2.1b of the terms and Conditions and they choose not to carry their booking of guest tickets forward to a future Ceremony under 3.2.3 of the terms and conditions.
The following information is required for a refund under these circumstances:
Method of payment, receipt number, student ID, full name, postal address, contact telephone number.
Over-payments will not be refunded where the administration cost to administer a refund is more that the amount to be refunded.
Q:31 What is the dress code for a graduation ceremony?
Graduating students must all be attired in the academic dress appropriate to their award. Guests are asked to note this is a formal event celebrating the significant academic achievements of the graduating students and are invited to dress appropriately.
